Policies and Data Privacy

SSHIA maintains zero tolerance for corruption. Any person may report suspected fraud, bribery or misuse of resources through confidential channels; reports are investigated by the audit committee and whistleblowers are protected from retaliation.

All members shall uphold the highest professional standards, protect the confidentiality of health data encountered in their work, declare conflicts of interest, and treat colleagues and the public with respect. Breaches may result in suspension of membership following review by the ethics committee.

This policy explains how the South Sudan Health Informatics Association collects, stores, processes and protects personal data of members, trainees, partners and website visitors. SSHIA processes data lawfully and proportionately, applies role-based access controls, encrypts credentials at rest, and never sells personal data. Members may request access, correction or deletion of their data at any time by writing to the Data Protection Officer.

SSHIA provides equal opportunity regardless of gender, ethnicity, religion or disability, and maintains safeguarding measures protecting vulnerable persons in all programmes.

Goods and services above the threshold defined by the governing board are procured through open tender. Tenders are published publicly, evaluated against documented criteria, and awarded with written justification.

The association applies transparent financial controls: dual signatories for all disbursements, annual independent audits, quarterly financial reports published to members, and full disclosure of funding sources.
